Guidelines for Submissions

Submission Requirements

  • 1.1. Proposals are invited from individuals, teams, or organisations with relevant qualifications and experience.

    1.2. Applicants must demonstrate the capability to undertake the proposed project and produce the expected outcomes.

  • 2.1. Proposals must be submitted in PDF format and include all required sections as outlined in the Call for Proposals.

    2.2. Proposals should not exceed 7 pages, excluding appendices.

    2.3. Your proposals will only be accepted via the website portal

    2.4. Late submissions will not be considered.

    2.5. The application process does not require the applicant to engage in any creative works.

    2.6. Any expenses associated with the application shall be borne exclusively the applicant and the Golden Jubilee Trust accepts no liability for same.

  • 3.1. At its sole discretion, The Golden Jubilee Trust may provide funding based on the project’s scope, impact potential, and budget justification, but is not obligated to do so and reserves all rights to decline proposals.

    3.2. Projects with budgets under €5,000 require a simplified proposal.

    3.3. Funding will be disbursed in instalments, tied to specific milestones and deliverables as outlined in the proposal’s timeline.

    3.4. At the sole discretion of the Golden Jubilee Trust, a final instalment may be withheld until the successful completion of the project and submission of a final report.

    3.5. Funding by the Trust shall be acknowledged in all publications by the recipient including print and electronic media (documents, websites, etc).

  • 4.1. Proposals will be assessed based on the following criteria:
    – Relevance and alignment with the objects of the Trust.
    – Feasibility and practicality of the proposed methodology.
    – Qualifications and experience of the team.
    – Detailed and justified budget.
    – Potential impact and sustainability of the project outcomes.

    4.2. The assessment process will involve an initial screening, followed by a detailed review by an expert panel.

    4.3. Applicants may be asked to provide additional information or clarify aspects of their proposals during the assessment process.

    4.4 A presentation by the applicant may be requested.

  • 5.1. Successful applicants must provide regular progress reports as specified in the proposal timeline.

    5.2. A comprehensive final report must be submitted within 30 days of project completion, detailing the outcomes, impact, and financial accounting.

    5.3. The Golden Jubilee Trust reserves the right to scrutinise project expenditures and outcomes and it is a condition of any funding provided that all such expenditures shall be properly receipted and provided to the Trust if so requested.

Submission Instructions

  • Format: Proposals should be submitted in a PDF format, using clear headings and subheadings for each section. Please follow the above structure (Sections 1 – 5).
  • Length: The main body of the proposal should not exceed 7 pages, excluding appendices. Appendices may be included but should not be laborious.
  • Submission: Your proposals will only be accepted via the website portal.

Special Note for Smaller Scale Projects

For projects with budgets that will fall under €5,000, the proposal does not need to be as comprehensive. However, applicants should still provide:

  • A brief project overview.
  • A summary of the team’s qualifications and experience.
  • A simplified methodology and timeline.
  • A general budget outline.

These smaller projects should aim to demonstrate clear and tangible benefits within a limited scope and timeframe.

  • 6.1. Intellectual property rights arising from the project will remain with the project principal, their team or their affiliated institutions.

    6.2. The Golden Jubilee Trust retains the right to disseminate the project findings through its channels, with appropriate credit to the project team.

  • 7.1. All information provided in the proposal will be treated as confidential and used solely for the purposes of assessment and funding decisions.

    7.2. Applicants must notify the Golden Jubilee Trust if their proposal contains sensitive information that requires special handling.

  • 8.1. The Golden Jubilee Trust reserves the right to terminate funding if the project fails to meet its milestones or if there is any identified misuse of funds.

    8.2. In the event of termination, the project team must return any unspent funds and provide a final report on the work completed to date.

  • 9.1. Applicants must comply with all applicable laws, regulations and ethical guidelines related to the conduct of the project.

    9.2. Any changes to the project scope, team, or budget must be approved by the Golden Jubilee Trust in advance.
